Suba360 is an AI customer support platform operated by Clever Tech Ltd ("we", "us", or "our"). This privacy policy explains how we collect, use, and protect information when you use the Suba360 website (suba360.com), web application (app.suba360.com), embeddable chat widget, WhatsApp integration, and related services (collectively, the "Service").

2. Information we collect

We may collect the following types of information: • Account information: name, email address, organisation name, team member details, and credentials used to sign in. • Knowledge base content: documents you upload (PDF, Markdown, plain text, Word) to power AI responses. • Conversation data: chat messages between your customers and your AI agent, including web widget and WhatsApp threads, escalation history, and customer profiles you create or we derive from conversations. • WhatsApp data: phone numbers, display names, and message content processed when you connect WhatsApp Business or link a number via QR. • Billing information: subscription plan, payment status, and transaction references. Payment card details are processed by our payment providers; we do not store full card numbers on our servers. • Website and marketing data: contact form submissions, newsletter sign-ups, and usage analytics on our marketing site. • Technical data: IP address, browser type, device information, and diagnostic logs needed to operate and secure the Service.

3. How we use your information

We use the information we collect to: • Provide, operate, maintain, and improve the Service. • Generate AI responses grounded in your uploaded knowledge base. • Route conversations to your team when escalation is triggered. • Process subscriptions and send billing-related communications. • Respond to support requests and product inquiries. • Monitor usage, prevent abuse, and protect the security of the Service. • Comply with legal obligations. We do not sell your personal data or your customers' data to third parties.

4. AI processing

Suba360 uses third-party AI models to generate responses from your knowledge base and conversation context. Your uploaded documents and relevant message content may be transmitted to AI providers for processing. We configure these services to support your use case and do not use your private knowledge base content to train public models without your consent.

5. Data storage and security

We use industry-standard safeguards including encryption in transit (TLS), access controls, and secure cloud infrastructure. No method of transmission or storage is completely secure. We encourage you to use strong passwords, limit team access appropriately, and review what you upload to your knowledge base.

6. Data retention

We retain account, knowledge base, and conversation data for as long as your subscription or account is active and as needed to provide the Service. When you close an account, we delete or anonymise personal data within a reasonable period, except where retention is required by law, for dispute resolution, or for legitimate business records.

7. Your rights

Depending on your location, you may have the right to: • Access the personal data we hold about you. • Request correction of inaccurate data. • Request deletion of personal data, subject to legal and contractual limits. • Request a portable copy of certain data. • Object to or restrict certain processing.
